In this day and age, small businesses are facing a serious question: keep doing business as usual or try to adopt and incorporate a more relevant way of doing things.

Keeping the status quo may be one of the reasons the business has remained so successful, but it may also be one of the reasons it starts to falter in the future. There is a certain loyalty to small, local businesses, but speed, convenience, and consistence overrules loyalty after a while.

With a few simple changes, it’s possible to keep the business running as usual (on the outside), while streamlining the way it operates from the inside. Ultimately, this provides the customers with the speed, convenience, and consistency they require to remain loyal.

The first change a business can make is to ensure a fast, easy way to accept credit cards as tender. A lot of small business still don’t accept credit cards or debit cards because they simply don’t have the means. Or, they accept these forms of payment, but rely on outdated, and time consuming methods, such as phone lines.

The solution to this is to utilize mobile devices to scan and authorize payments. More and more businesses are using this method and the trend doesn’t seem to be slowing.

The second improvement that can be made is with accounting and bookkeeping. Using an accounting program that is not based in the cloud or using a program that the company has used for a decade may have worked in the past. However, as the business grows and taxes, payroll, and the bottom line increases, the business is going to be better off using a program that is constantly updated, constantly backed up, and that can be accessed from anywhere.

You move around a lot — and being able to access these important aspects of your business whenever you want and wherever you go becomes an important tool for managing your business on the go. The third and most important aspect of managing your business is providing your employees and customers with ways to contribute and feel valued.

A great way to do this is to keep an open line of communication with them. Implementing ways to communicate their ideas, thoughts, and feelings about their job and experience is becoming an important variable in employee and customer satisfaction.

In office settings, it can be very helpful to implement an instant messaging program between employees. This provides a way for everyone to communicate easily. In retail settings, employee text messaging groups can be utilized or social media groups can be used to let them feel a part of the team. Feeling a part of the team is crucial and feeling valued is even more important.

Social media can be huge when it’s used to interact with customers. Asking a customer to share their experience on Google or Facebook, Twitter, Instagram, etc. will always result in more and more people becoming aware of the services and experiences your business can provide.

These three changes can improve the way your business operates on a day to day basis, without having too much overhead costs, and without having to overhaul major aspects of the business. They can improve employee and customer satisfaction, as well as make them all feel included. In the end, the general sense from the customers will be one of “Whatever they changed, I like it, and it works.”

Should Your Small Business Use A Domain Network?

If you have 5 or more computers that are sharing files and are constantly being worked with, a domain network would be in your best interest.

A domain network using a server has many benefits to a work area, a work building, or even multiple buildings using VPN. The flexibility, security, and convenience of a domain is, in most companies, invaluable. Sign into your account from any computer that is a part of the domain and you no longer need to use only your personal computer to access files.

If something were to happen to your computer, you could just use another computer to sign into your account and continue working without much downtime. This is also a far more secure way for users to access other computers as they have to use their credentials and only have the permissions that their credentials provide, not those of the computer itself. As long as users are not sharing passwords, you can have every user accounted for, policies implemented, and control what they can and cannot access when it comes to Internet, files, and programs.

Secure file-sharing is an easy and basic function of a domain server with Active Directory, which all the computers connected to the domain have access to. If you wanted only certain users to have access to certain files, you can have folders set up that prevent unauthorized editing, but still could be read — or even not be seen at all.

Having 5+ workers able to access the same set of files to edit as needed is an amazing way to save time and improve project efficiency. Everyone can see the file as it is saved or changed and they can continue to edit records as necessary without ever having to go on the Internet or transfer the file. Just get on any computer on the domain and you have instant access to the files that you need without a second thought.

Active Directory is your IT department’s best friend when it comes to handling large or small groups of computers as IT can access the domain server to make adjustments to other computers without ever stopping the work flow.

Forgot your password? Your IT can very easily use the server and reset your password for you without having to go to your computer. Setting up a new computer that needs certain printers and drivers installed? IT can set up the server to push those standard programs and drivers without having to install each individual program. Need to set up a new user account? It’s created on the server and the user can be accessed on all computers. There are so many possibilities that open up when you have a server domain available for your workstations.

We have only scratched the surface of what’s possible with a domain server and the amount of time and effort it can save for everyone in the company. I believe every business that is looking to grow should have a domain server early on as it will be easier to set up and can evolve to your needs as your company grows.

Do You Have Internet Privacy At Work?

Sometimes, when there’s a break or the work day is slow, it can be tempting to check on a couple different websites. In doing this, would anyone know what websites were visited? Other than the people around, who else would know what sites might have been visited? It may come at a surprise that there could be many different people later on – or even immediately – that find out about the websites that were visited.

It is common for workplaces to have a firewall that prevents certain websites from being visited. Along with blocking certain websites, firewalls usually keep track of all the different websites that have been visited and by who.

Any time a website is visited that has been blacklisted (blocked), this usually triggers an alert to the IT department or management, so they can look over who tried to connect to a blacklisted site. From there, if IT or management feel it is necessary, they could look over the entire history of websites that were visited by a user or a group of users.

Now, let’s say for some odd reason that the business does not have a firewall or other device that keeps records of websites visited – could websites that were visited still be discovered?

Well, the computer someone uses also keeps records of websites that they have been visiting, which can be accessed by IT.

Some clever users might be able to remove their footprints from their workstation computer, but they may not have access to something like that.

There is another way that websites visited from a workplace can be tracked without a firewall or looking into the computer files.

If the websites visited warrant any legal action or an investigation is happening at the company, the ISP (Internet Service Provider) can release any and all records of websites visited and exact information of what was done. There is no way to get around this as you need an ISP to use the internet.

There are even more ways to find out what websites are being visited than what was mentioned here. In short, if someone at the office is using the work Internet, it is more than possible that every website visited is being kept track of in one way or another.

If you follow the rules of your workplace and visit only the type of websites allowed by the work place, you shouldn’t have much to worry about. As a rule of thumb, you should only visit sites and do things that you don’t mind the public or workplace knowing about. If you ever see “NSFW” (Not Safe for Work), do not visit or have anything to do with it while on the work Internet.

Only surf the Internet when you are allowed to surf the internet. Don’t visit websites or open emails where the main site or email sender is unknown. With these tips in mind and a better awareness of how a person can be tracked on a business network, you can make better choices while on the company’s Internet.

How Cloud Computing Can Benefit You

Is your business using the cloud in 2016? If not, you should know that it’s a great tool that’s designed to help your business better manage its data and application deployment.

However, the cloud can be used for so much more and it’s quickly becoming an indispensable tool for SMBs.

Here are four ways that cloud computing is changing the way that small businesses handle their technology:

Data Storage
The cloud is a great way to share data among your entire organization and deploy it on a per user basis.

Businesses can store their information in a secure, off-site location, which the cloud allows them to access it through an Internet connection.

This eliminates the need to host your data internally and allows your employees to access information from any approved device through a secure connection, effectively allowing for enhanced productivity when out of the office.

Microsoft Office365
Access Office from anywhere; all you need is your computer – desktop, laptop, tablet, or phone – and an Internet connection.

Since the software is running in a data center, you just connect to the Internet to access the software.

Another benefit to this is that you have a central location for all your data. If you need to make a change to an Excel spreadsheet from your tablet and you share the file with your colleague, they will be able to view the changes that you just made.
Gone are the days of emailing files between members of your team and losing track of the most up to date file version.

Virtualization
The cloud can be an effective tool for virtualization, which is a great method for cutting costs for your business. By virtualizing physical IT components, you’re abstracting them for use in the cloud. This means that you’re storing them in the cloud.

Businesses can virtualize servers, desktop infrastructures, and even entire networks for use in the cloud. Doing so eliminates the physical costs associated with operating equipment, allowing you to dodge unnecessary costs and limit the risk of hardware failure. For example, you can deploy all of your users’ desktops virtually from the cloud so you don’t need to rely heavily on more expensive workstation technology and can instead use thin clients. Simply log into your company cloud and access all of your applications and data on virtually any Internet connected device.

Backup and Disaster Recovery (BDR)
A BDR device relies on the cloud to ensure quick and speedy recovery deployment. The BDR takes snapshots of your data, which are sent to both a secure, off-site data center and the cloud.

From there, you can access your data or set a recovery into motion. If you experience hardware failure, the BDR can temporarily take the place of your server, allowing you ample time to find a more permanent solution.

The cloud is crucial to the success of a BDR device, simply because the cloud is where the BDR stores an archive of its data.

Should Your Business Get A Backup Internet Connection?

With most business operations tied to the Internet, it is important to consider a backup plan in the event that your Internet connection goes down.

A host of things can cause issues with Internet service from natural disasters to provider caused issues, and unfortunately, those are beyond your control.

Choosing whether or not your business should have a backup Internet connection, however, is within your power.

You should first identify how much your business depends on the Internet for its operations when making this decision. In other words, could your business operate, if the Internet was to go down for a few hours without suffering a significant monetary loss? What about for a few days?

Chances are that your business would at least operate at a disadvantage without another way to access the Internet. If that is not the case, deliberating about backup connections may not be your best use of time.

For the rest of the business world, however, the real question lies in what kind of backup Internet connection you should seek.

Most experts will agree that it is wise to have your backup connection one notch lower than your primary one.

For instance, if your primary Internet connection is fiber, your secondary connection could be a T1 line. If your primary is a T1 line, try DSL or cable for your secondary.

That way, you’re not making a huge downward leap such as from fiber to dial-up, and your employees wouldn’t be at too much of a disadvantage.

This approach also takes into account your business’ budget. Your secondary connection will be a little less expensive than your primary while still being somewhat close in capability.

You’ll also need to make sure that your firewall has the capability to support more than one Internet connection. Most of the firewalls we recommend to clients include this as an option; however, the consumer grade routers sold at big box stores rarely offer this as an option.

Another important feature is to make sure your firewall can automatically detect outages, and switch Internet connections to keep you up and running without manually having to switch connections.

How to Up Your PowerPoint Game

Back when PowerPoint first came out, it didn’t take a lot of finesse to create something visually appealing and exciting. Now, however, PowerPoint and its similar counterparts like Keynote and Prezi, are old hats. It is no longer sufficient to add some generic photos and bullet points that outline your speech to grab your viewers’ attention.

In fact, such uninspiring presentations have led to the coinage of the phrase “death by PowerPoint” to describe PowerPoint strategies that fall flat and leave those forced to watch them on the verge of sleep.

Here are a few things to keep in mind when crafting your next presentation:

• Avoid the following kiss-of-death PowerPoint photo types. Some images have been overused to the point of having little to no meaning. This, consequently, leaves viewers bored because the photos add nothing to the material covered in the presentations. Archery targets, cogs, business people preparing to race or grouped around a monitor, jigsaw pieces, hand gestures, and globes are among these types of images.

• Instead, think outside of the box when choosing photos for your PowerPoint presentations. For example, pass over an image of a handshake to represent a partnership and choose something more untraditional like cheese and crackers or a needle and thread.

• Don’t hesitate to use some of Microsoft’s newly released tools to showcase your images. For example, you can create animations using Morph or try things like frames or transparencies. However, when using such tools and enhancements, make sure they fit the overall theme and feel of your presentation.

As such, your extras will be a seamless part of your PowerPoint and not stick out like a sore thumb.

• Most importantly, focus on the content of your PowerPoint presentation. That is, after all, the purpose – to inform and effectively convey ideas. Your photos are meant to complement your content, not overshadow it.

Replacement Equipment And Workstation Data Storage

Have you ever found yourself in the middle of a huge project or in the height of your busy season, then suddenly, a key piece of equipment breaks? You have orders that need processed. Deadlines to meet. Stress starts to roll in. You start to wonder how long the downtime is going to last or what this is going to cost your business.

One way to reduce the stress levels and temporarily resolve the situation is to maintain a stock of replacement workstations and essential equipment.

Being able to switch out a workstation or any other critical piece of equipment and be back up and running sooner not only reduces stress levels, but also saves your business countless dollars in lost revenue.

Example: your company designs and prints graphics for billboards. An employee says their workstation has crashed while they were working on a project for your largest client that’s due in two days. What do you do?

You try to contact the manufacturer of the workstation, only to find out your warranty does not cover on-site service and the soonest they could be on location is in two to four days. That’s not the answer you wanted to hear.

If you had a replacement workstation on hand, you could reduce your downtime dramatically. But let’s say you do have one. So you switch out the workstations and your employees is back to work…

Until they realize all of their work is stored on the crashed workstation. Stress levels start to climb once again.

One easy way to avoid losing data would be to migrate the user’s data to a storage device located on your network. Network attached storage is much more reliable than the storage within your workstation. They can also be configured for redundancy.

This entire migration will be transparent to the user as the workstations libraries will still remain intact, just relocated to a different device. As far as the user is concerned, all of their data is saved to the workstation.

The general rule of thumb is to maintain a 10% replacement stock level of workstations or essential pieces of equipment (and always have at least 1). Replacement switches, as well as firewalls, should always be on hand or able to be purchased locally. Being able to replace a switch or firewall to bring your VOIP phone system back online or restore network connectivity to your entire business in minutes is critical.

If your business is unable to maintain replacement inventory, make sure you have (and fully understand) support contracts either from equipment manufacturers or from a local network support company.

Depending on the manufacturer or support company, support contracts can range from 24×7 to 8×5 to “whenever we can get there.” That’s why it’s very important to understand your support agreements. Never get taken by surprise.

Manufactures, depending on the piece of equipment, will offer warranties or support contracts. Be warned the contract may not include next day equipment replacement, data recovery, or installation of the equipment.

They may be able to offer remote assistance, but in most cases, you end up in a long call that does nothing to resolve your issue.

The best option, if available to your business, is to have a managed service plan with a local network support company. Most local support companies will offer same day service including weekends.

Local service companies can act as your business IT support department and/or work with your existing IT department to maintain your business equipment and resolve any issues that arise.

Most local service companies will have replacement equipment and repair parts on hand, thus reducing downtime.

A local service company will also be able to assist your business in less stressful times by offering remote support services and preventive maintenance visits to spot any potential issues before they become larger problems.

They will also work to ensure your business’ network is safe and secure and offer suggestions for upgrades to your infrastructure.

While no one can predict when a workstation may go down or a firewall will fail, the best thing you can do is be prepared.
