Backup And Disaster Recovery For Small Businesses

It is that time of year again; “Storm Season”, and computers and other electronics can be damaged.

We see at least a few computers each year come in from damage caused by a storm. This can vary from a failed power supply to computers that cannot be repaired due to the damage done by the storm.

This is one reason why it is important to have a disaster recovery plan. A good disaster recovery plan starts with backing up vital information regularly.

It is best to have at least two forms of backups as well. You need on-site and off-site backups.

On-site backups are stored on some media like a hard drive or a flash drive that is not permanently attached to the computer. This is a removable storage device that can be transferred to a different computer, or even a network resource like a server.

We can also offer a device that will take a complete system image of your computer at regular intervals. If your computer or server fails, this device can actually boot up as a temporary copy of your computer or server, within minutes. This will keep your downtime to a minimum in the event of a disaster.

Off-site backups are the most important. There are instances of when the on-site backups become unusable. This can happen in the event of natural disasters like fires, floods, and electrical damage from lightning, or even something simple such as a system failure or even a virus.

It is a good idea to have your data backed up securely over the Internet to a different location that has many redundancies in place.

You need to decide what the best options will be for you and make sure that they are cost-effective. Backup and disaster recovery is something we take very seriously here. We have had clients accidently delete their entire QuickBooks databases, they called us, and we were able to restore the databases in minutes.

The most important part of backing up your data is testing your backups.

You have to test your backups to make sure everything will be able to be restored in the event of an emergency.

Local, Offsite Or Disaster Recovery: Backup Options Explained

Many businesses have a lot of highly important data. A sudden, catastrophic loss of data has proven to put many businesses out of business within months of the data loss.

The extreme costs of both getting data back, if it’s even possible, and the expense of down time and lost business is an insurmountable obstacle to business continuity.

Choosing the right backup option depends on the type of data your organization has, the amount of time that is acceptable to be without access to your data, and the amount of time you need to retain backups of your data.

A Backup and Disaster Recovery machine or BDR, is designed to take continuous snapshots or your server as well as upload this data to a cloud based server.

There are many benefits of having a BDR in place versus just having a standard backup job in place.
The first major advantage is that in the event of something catastrophic like a business being demolished (fire, flood, tornado) access to the server can be quickly restored via the images the BDR uploaded to the offsite server.

What this means is that even servers running applications, databases, etc. can still be completely accessible even if the original equipment was destroyed.

After the equipment has been replaced this image of the server that you have been using via our secure cloud environment can then be transferred to the new server.

This allows you to continue to function as a business, using your original data, while we work to setup a new server onsite for your business.

How Strategic Business Continuity Planning Can Prevent Losing Money And Customers

The concept of business continuity planning is nothing new to conscientious business owners.

Without a doubt, the ability of an enterprise, large or small, to recover from catastrophic events and continue to provide an acceptable level of service to its customers  while maintaining a satisfactory level of profits is a basic requirement of good business practice.

Although such awareness has always been a feature of good management, the startling events of September 11 2001 has brought the world into a heightened state of preparedness for disaster.

Why the need for continuity and disaster planning?

Increasingly, natural disasters continue to surface in one place after another.

Consider recent major floods, earthquakes, tsunamis, hurricanes, corporate crimes and malicious attacks upon computer systems in nation after nation and you will sense the pressing need for sound business continuity planning to avoid disruptions due to technology and other failure.

Another factor which contributes to this need is the changing business climate in view of the expansion and increasing accessibility of the Internet over the past decade.

So organizations which formerly rendered services to their customers during fixed hours of business, now find themselves offering their services on an extended schedule, even 24 hours a day, seven days a week.

This means that customers have grown accustomed to this ready access to their suppliers and vendors. And now the reality is that consumers have become less and less tolerant of interruptions in a company’s service and availability.

Business continuity planning – is it just for big business?

Business continuity planning now takes on an increasingly important role, not just for larger enterprises, but for small businesses alike.

In fact for small businesses it is even more critical to be ready to respond to the needs of its customers.

Nowadays a company’s IT System with its network of computers has become the backbone of many businesses.

It’s Severe Weather Season… Do You Have A Disaster Plan?

Perhaps it’s just me, but this spring has been one of the worst I can remember in terms of severe weather. The flooding and tornadoes we’re seeing around the country should serve as a wake-up call for small business owners to review their business continuity plan.

A disaster recovery plan prepares a business to deal with disaster scenarios such as fi res or tornadoes that disrupt the business’s operations.

Although larger companies create such plans as a standard operating procedure, small businesses tend not to do this type of planning.

In fact, according to Symantec’s 2011 SMB Disaster Preparedness Survey, only 50% of small businesses have a plan in place for a disaster or data loss.

Your disaster plan serves two purposes. First, the plan should limit the financial impact a manmade or natural disaster has on your company.

Second, the plan should establish the steps you will take to begin operating again quickly following a disaster. Developing the plan and making employees aware of it helps protect your business and mitigate risk.

Plans should name specific employees that will play key roles in the event of a disaster, and identify critical assignments that each employee must complete in a disaster scenario.

Finally, the plan should focus on keeping your company’s irreplaceable data safe. That data includes customer information, email correspondence, sales information and accounting and financial records.

Most businesses our size don’t have the resources to implement redundant office locations, but the plan should include a strategy operating at an alternate location.

The resources needed to resume operations within 24 hours of a disaster may differ from those needed to resume operations within three to four days. The plan should call for the minimum set of resources possible to meet the established targets.

Reality Check: Tape Backup Units Are Dangerous!

Tape backup units are dangerous. We’ve seen far too many business owners put blind faith in their tape backup, only to discover the tapes were never changed by their staff or the drive failed months (or years) ago and no one noticed.

Frankly, tape backups are garbage, too. The technology is 50 years old. The process is nearly all manual and subject to human error. The drives’ innumerable moving parts make it prone to malfunction. And, the media – the tapes themselves – are fragile and unreliable.

So here’s the question: If you don’t store your music on a cassette tape any more, why are you trusting your invaluable business data to one?

The tornados that struck our community earlier this month really have me thinking about backup and disaster recovery solutions.

Having a data backup merely means that you have a copy of your company’s data stored somewhere; it doesn’t mean you have a way to instantly restore your network back to normal.

Tape Backup Risks
The principle behind tape backup is simple, and everyone understands it. When you backup your data, you’re making a copy of it onto removable media (most times, a tape) and putting the tape somewhere safe.

But, there are risks with tape backup. What if your staff doesn’t change the tape? Who is monitoring the backup software to make sure your backup runs successfully each night? How often do you do a test restore to make sure the data on the tapes is actually usable?

In general, before you can use the backup you have stored on tape, you first need to repair or replace your server, reload the operating system, reload your programs, and add in all of your users. This is several days of (expensive) work and (expensive) downtime.

Disaster Recovery
The goal of any disaster recovery solution is to mitigate the risks of the old tape backup solution, and ensure the continuity of your operations after some sort of disaster: Fire, flood, tornado, etc. Our Experts Total Backup solution eliminates human errors (forgetting to change tapes) by backing up automatically to a network based storage system. The backups are completed in real time, as your server runs, without interrupting your work.

We take “snapshots” every 15 minutes of any data that’s changed on your system, and then assemble those snapshots into a comprehensive image of your server that resides on the backup device.

Getting The Data Offsite
The next step in mitigating disaster risks is ensuring your data is stored offsite. Our backup solution encrypts your data and uses the Internet to send it to a secure data facility on the east coast. That data center’s contents are replicated in a data center in the central United States. The net effect: Your data is stored in three locations, automatically.

Notice I said earlier we take “snapshots” of your data to create an image of your server. This is an important distinction between a disaster recovery solution, and a tape backup. The image backup solution in essence takes a photocopy of your server – backing up the operating system, your programs, the data, user settings, and so on.

If you lose a single file (for example, someone deletes a spreadsheet you use every day), we can restore that file in a matter of minutes. If an entire folder is deleted or corrupted, its very simple to recover your files.

Making The Image Live
The real beauty of the image-based backup system is in its ability to “virtualize” your server. If your server failed for some reason – bad hard drives, failed motherboard, fried power supply – our technicians can use the Experts Total Backup device to run the last image.

This makes the backup device appear to your network and users as your server. It is an exact copy in every way, current as of the last snapshot. In a hardwarefailure scenario, we can have your business back up and running in a few hours.

If Disaster Strikes
Since your data images are stored in two secure, off-site data facilities, your data is always safe. If your office, server, and the backup device are all destroyed – again, by fire, flood, tornado or any other myriad of disasters – we have the image that is stored at the data center copied to a new backup device, and sent to us overnight. Your business is back up and running – even with a complete loss of equipment and onsite data storage – in 24 to 48 hours.

The entire solution is monitored and managed – you’ll never have to worry about whether or not a backup completed. If there are any issues with the backup or the backup unit, we’re automatically notified, and a ticket is generated for our technicians to review.

Eight Steps To Prepare For Business Disruptions

Summer Storms, Crazy Weather Highlight Need To Be Prepared

With the crazy weather we’ve been experiencing the past few weeks, now is the perfect time for your business to put together a basic disaster planning and recovery plan.

Here are some key points to consider:

1. Prevention costs less than recovery, and it’s faster.

When a disaster occurs, one of the first questions asked after the smoke clears (or the debris is cleared) is how it could have been avoided. That’s the prevention component – and the issue for most businesses is when they want to answer that question, and how much they are willing to spend to avoid a major disruption to their business.

2. Don’t put all your eggs in one basket.

Our professional recommendation is to spread “vital” operations across more than one location if at all possible. Full backups should be performed every business day, and stored off site. The key thing here is, backups must be tested – this means you need to frequently pick random backup sets and attempt to restore from them.  In far too many cases, data that was thought to be securely backed up couldn’t be accessed when the chips were down.

3. When disaster strikes, the first thing to go haywire is the plan.

Your business should review the disaster plan for adequacy (are you covering all the bases) and currency (has the plan been updated to match your new technology?). Special attention should be paid to new systems and processes that weren’t in place in the business when the initial plan was developed.

4. When disaster strikes, your competitors will notice.

If your company doesn’t maintain market presence and reputation after a disaster, the absence can create a vacuum in the market place. This being the case, competitors will step up to fill that void.

5. Remember the four “P”s of disaster planning – People, property, priorities and planning!

Your company’s security plans should be up to date, including how to contact local fire, police and rescue departments. Some examples of questions to answer in your disaster document: Do you have a written crisis management plan? Has it been tested recently? Do you know when to call in authorities, and who has the authority to make the decision? How are visitors and vendors controlled in your building? Do your security procedures reflect what you really expect employees will do?

6. Tailor your business continuity spending to real threats and key priorities.

Recent events have made us think of terrorism as a major threat, but for small businesses like ours, there are more pressing and diverse threats. Things such as employee or non-employee workplace violence, cyber threats (including computer viruses and denial of service attacks), electrical disruptions, tornadoes or other storm related damages are, for most businesses, much more appropriate threats to invest in remediation efforts against.

7. Successful recovery is like a recipe – everything has to come together at the right time.

Your business should also consider asking critical vendors about their plans and capabilities to deal with emergencies. Relying on one or more critical vendors to keep your business going could be dangerous because a crisis that affects them could spill over to your company if they’re unable to provide goods or services.

8. Regional disasters have a way of mandating priorities you weren’t even aware of.

It is a good idea for your business to look at the immediate area surrounding your facility and perform a risk assessment. Are you near a river, stream, dam or lake?

Focusing on employee safety will pay off during a disaster, since knowledgeable employees are an important key to your company’s recovery plans.
