Six Ways To Ensure Your Email Gets Read

If you’re like a lot of us, you get so much email every day that you might spend as little as 15 seconds scanning a message to determine how it applies to you.

Now, imagine that other people are reading your email the same way. If they can’t quickly identify the purpose of your message, they’ll probably delete it or leave it in the Inbox for “later” – if later ever comes.

Here are some tips to ensure that your email messages are read and get the attention they deserve.

Have a clear purpose
When recipients receive your email message, they should be able to see at a quick glance how the message relates to them and why it’s important.

They may be looking at a preview of your message in Microsoft Outlook or on a smart phone. Or they may see only subject lines in their inbox. If your subject line is confusing and irrelevant, your email will surely get deleted in a hurry.

Here are some things you can include in subject lines to make sure the reader opens your mail:

A standard subject heading such as “Action Requested,” “Response Requested,” “FYI,” or “Read Only.”

The meaningful objective or supporting project that the message relates to, for example, “FY ‘05 budget forecasting.”

The required action if applicable, for example, “Consolidate departmental budget spreadsheets.” The due date if applicable, for example, “Due by July 7.”

An example of an effective Subject line is “Action Requested—Consolidate all department spreadsheets for FY ‘06 budget and return to me by June 15th.”

Tell them what to do
Be completely clear about the actions you want the recipients to take.

Be specific and put all the material that is related to an action in one place. To get even faster responses, talk about how the action relates to the recipient’s objectives, and always give due dates.

It’s also important to clarify what you want the recipient to do. There are basically four types of actions you could request:

Action: The recipient needs to perform an action. For example, “Provide a proposal for a 5% reduction in travel expenses.”

Respond: The recipient needs to respond to your message with specific information. For example, “Let me know if you can attend the staff meeting at 9am Friday.”

Read only: The recipient needs to read your message, and no response is necessary. For example, “Please read the attached sales plan before the staff meeting on August 12th.”

FYI only: The recipient should file your message for future reference. In fact, even reading the message is optional. For example, “Enclosed for your records are your completed expense reports.”

Give them all of the data
Make sure you give recipients all of the information they need to complete an action or respond successfully to your request.

Your co-workers shouldn’t have to come back to you asking for information, whether it is a supporting document or a link to a file on a shared website.

You can include supporting information in the body of the message, in an attached file, or in an attached email.

Send only to necessary people
Target your message to the appropriate audience. Only people who have to complete an action on the Subject line should receive your message. Be thoughtful and respectful when you enter names on the To line. People observe your thoughtfulness and the results are more effective.

No forwards!
While everyone appreciates a little humor and a sanity break at the office, save the funny forwards, jokes, and cute pictures for personal email.

Work/Life Balance: The Issue Of Technology

Technology and easy Internet access can be both a blessing and a curse, giving us remote access to email, smartphones, Skype and other tools.

In theory at least, this gives us the ability to be able to work from home and achieve a better work/life balance, and yet in some cases all it has actually done is increase the number of hours that we spend working.

One way to win back some work/life balance is to negotiate the time spent working from home.

Not only does working from home save a lot of time you would otherwise spend commuting back and forth to work, it also means you save money on both transportation and food, and it gives you more time to develop an exercise routine. There can be problems with working from home, however, such as lack of discipline and motivation as well as overwork.

The solution is to make certain that your work stays within the time period of a normal working day and does not add further hours to that workload.

Some time-management techniques include creating to-do lists, managing your expectations, prioritizing your workload, learning to delegate, and making sure that you have regular meetings and catch-up sessions with colleagues.

It is also important to set boundaries with colleagues to respect your personal time. Set an expectation that you’re “not available” during non-work hours. Switching off your cell phone and not checking emails during non-working hours is also a good idea.

Whether you’re chasing around between two or three different jobs, trying to maintain a standard of living that used to be achievable doing just one, or burning the candle at both ends to fit in numerous extracurricular activities as well as holding down a full-time job, sometimes there just comes a point where something’s got to give.

Although it might be easy to assume that a constant state of activity means forward progression, when things start to get too frantic, all that dashing around can easily become self-defeating. Not only does the body become exhausted, but as the brain goes into overload, mistakes start to be made, things begin to be forgotten and it becomes impossible to give your best to anything that you attempt. Far from moving forward, what often happens is that you end up spending most of your time sorting out the muddles that have been created due to time pressures and the inability to stay organized.

If you need to find a Mexican restaurant within a mile of your location, you can not only find one, but also check out the menu and order online so your food is waiting for you when you get there!

3. It keeps us in touch.
Although it can easily be argued we’ve gone too far in this department, cell phones, blackberries, and even online forums (blogs, Facebook, MySpace) have enabled us to find and stay in touch with more people more frequently.

4. It saves us time and money.
Nothing has done more for the consumer than the Internet. In minutes, you can search and compare various products and services without having to make a phone call or get in your car. Plus, you can order just about anything online and have it shipped to your door.

5. It’s a great scapegoat for any number of mistakes you’ve made.
Missed an appointment? Blame your system being down. Don’t want to talk to someone? Use the old, “I have no bars in this area,” excuse. Overlooked an important client’s request? Just tell them you never got the email!

Attachments Forget Reminder for Microsoft Outlook
Attachments Forget Reminder is a powerful Microsoft Office Outlook Add-In. It scans each outgoing email and if it finds any of the specified key phrases (e.g., “see attachment” or “in the attached file”).

If no file is attached to the message, the program will give out a notification. It then asks you if you meant to attach a fi le before sending the email, giving you a chance to insert the attachment. The add-in works with Plain Text, RTF, or HTML based email formats.

There is many more add-ins that you can install to improve functionality within the Office suite programs, these are just some of the few I like.

Simple Tips To Keep You Out Of Computer Trouble

As you can imagine, we see a lot of computer and network issues . Sometimes, they’re pretty difficult to diagnose and repair, but in some cases, a simple fix is all you need. Here are some tips you can refer to the next time your computer goes a little crazy, and some advice to keep you out of trouble.

Reboot!
Nine times out of ten, rebooting your computer and connected equipment will solve the problem you’re having.

Do a full restart, which means go to your Start menu, shut down the computer, and power down your peripherals and computer. Then, restart it fresh.

We know what you did
A good computer consultant can tell if you’ve been bad or good on your computer, and usually pretty quickly. Tell us what you really did right before the computer crashed – this will save time and aggravation.

Your consultant will figure it out eventually – why not make the repair quicker?

There is no free lunch
Downloading free music, movies and games from the Internet can open holes in the security system of your computer, making it easy for other people to access your files.

Be safe… Only use legitimate sites like iTunes and Netflix for your downloads.

Use strong passwords
We walk a fine line in recommending passwords. If they’re really easy to remember, that means they’re also really easy to guess. If we make the password very hard to guess, it’s also going to be very hard to remember.

Here’s a suggestion: Create a “main” password which you then modify for each site you use. A good main password would consist of numbers and letters (but not your birth date!).

Try using your first dog’s name combined with the address of the first house you lived in, and then add to the password for each site. For example, buffy1944 could be a good base password. Then, you’d add AMZ at the end for your login to Amazon.com – buffy1944AMZ, EBY at the end for your eBay account, etc.

Update your antivirus
Hackers don’t care that you’re too busy to renew your antivirus and anti-spyware software – in fact, they hope you don’t! Set your software to update at least once a day and run a full system scan at least once a week.This is also a good time to schedule system maintenance tasks, like your system defrag.

Public wi-fi is public
If you don’t have an urgent need to check your online banking or private e-mail at the coffee house, don’t do it. While you’re on a public network, even if it is encrypted, a nearby hacker can capture your passwords and other personal information

 

Helpful Microsoft Office Keyboard Shortcuts

Ctrl Z is the magic undo combo. It simply undoes your last action, say, the paragraph you accidentally erased (it works in other applications, too).

Programs vary in the number of times you can undo something, but some will let you Ctrl Z all the way back to the beginning. (And, yes, there is a redo command, just hit Ctrl Y.)

Ctrl B, Ctrl I, or Ctrl U apply bold, italics, or underline to highlighted text, respectively.

Ctrl P prints whatever is in an active window.

Ctrl Backspace erases an entire word at a time, instead of a letter.

Ctrl up or down arrows let you scroll an entire paragraph at a time, instead of one line, and Ctrl Shift up or down arrow will select an entire paragraph.

Ctrl Enter inserts a page break in Word.

Alt Ctrl C inserts the copyright symbol (Alt Ctrl R inserts the registered trademark symbol, and Alt Ctrl T makes the trademark symbol).

In Outlook, you can jump to the section you want: Ctrl 1 switches to the Mail window, Ctrl 2 switches to the Calender, Ctrl 3 to Contacts, Ctrl 4 to Tasks, and Ctrl 5 to Notes.

Ctrl Shift M starts a new message in Outlook. (Use Ctrl Shift C for a new contact.)

In Outlook e-mail, hit Ctrl N to compose a new message, Ctrl R to reply to a message.

In Microsoft Excel, you can select the entire column by pressing CTRL SPACEBAR, and select the entire row with SHIFT SPACEBAR.
